It helps our team draft, research, and organize faster, so we can spend more time on strategy and on you. This policy guides how we use AI responsibly. It applies to everyone at Creativate, including employees, contractors, and partners, whether the work is internal or for a client. ## Guidelines for Responsible AI Usage ### Transparency We use AI to support some of our work, such as drafting content, research, reporting summaries, and HubSpot builds. Every AI-assisted piece is reviewed, edited, and approved by a Creativate team member before it’s used or shared. When a client contract or statement of work asks us to disclose AI use, we honor it. If you ask whether AI helped with something, we’ll always give you a straight answer. ### Tool Selection Our team uses AI only on approved business or enterprise accounts. These plans come with stronger data protections and keep your information out of AI model training. Our approved tools are Claude for Work, ChatGPT Business or Enterprise, and Gemini through Google Workspace. Any other tool needs written approval from leadership first. ### Accountability People are responsible for what AI produces. AI supports our team’s judgment and expertise, and we own every decision. We review all AI-assisted work for accuracy and quality before it reaches you. If something AI-assisted misses the mark, we own it and make it right. ## Addressing Specific Issues ### Privacy We treat client contact lists, campaign performance, revenue figures, proprietary strategies, and anything covered by an NDA or services agreement as confidential. Here’s how we protect it: - Raw confidential data stays out of AI prompts. - We anonymize data before any AI analysis, swapping client names for placeholders. - Confidential files stay off consumer AI platforms. - Memory features stay off for confidential work unless the plan has the right data agreements in place. On Claude for Work, our primary AI tool, your conversations aren’t used for training. Data is encrypted in transit and at rest, and standard retention is 30 days. Anthropic employees can’t access conversations by default, and Anthropic never sells conversation data. That’s why our team uses company-approved business accounts for all work involving client or company information. ### Ethical Considerations AI should always be used honestly. Our team never uses AI to: - Fabricate statistics or invent citations - Create discriminatory, harassing, or misleading content - Present AI-generated work as fully human-made when a contract requires disclosure - Get around an AI tool’s safety features ### Intellectual Property Work we create with AI assistance, then review and refine, belongs to Creativate or to you, as your agreement specifies. Every final deliverable reflects meaningful human authorship. We never use AI to reproduce or closely paraphrase someone else’s copyrighted work, or to copy a competitor’s or client’s intellectual property. ## Training Employees on AI Usage Every team member reads and acknowledges this policy when they join Creativate, and again whenever it’s updated. ## Policy Updates AI tools and vendor terms change quickly.
